Promote Your Publication By Thinking Like An Advertiser

I have been in the newspaper and magazine advertising sales business now for over 12 years. For some of you veterans that may not seem very long. But none the less, it's long enough to learn a couple things... One of which is that most publishers and advertising sales professionals are poor marketers. Here's why I've come to that conclusion.

In advertising sales one key task is helping advertisers recognize the importance of brand or product exposure. Presumably this will not be a huge challenge as most marketers inherently understand that to sell more products, services, etc., they need more people to know about their offer. However, the next challenge is a bit more difficult.

In order to make the sale, advertising sales people must show prospective advertisers how the publications they represent will bring to effect the necessary customer connections. Typically this is where advertising sales professionals pull out demographic studies, reader profiles and other statistical data intended to analytically convince the marketer that advertising in their publication is a smart marketing decision.

Throughout this process the good advertising sales professionals learn to function in a sales consultant role rather than as a hired gun. Their job becomes helping rather than just taking; finding business solutions instead of finding just another buyer. Good advertising sales professionals become skilled at coaching their advertising clients toward effective, productive marketing campaigns. They understand something about their advertiser's customers and how to effectively reach them.

Armed with this knowledge it would seem logical then to conclude that advertising sales professionals should know how to effectively market their own businesses. Unfortunately however, this is not always the case. Many advertising sales professionals still rely on publication promotion methods that would be scoffed at among advertisers. Few use press releases to promote special advertising opportunities or the merits of their publications. Few run advertising campaigns that brand their name in prospective advertiser's minds. And relatively few participate in events or functions that help burn their brand into potential advertiser's minds. Why?

Some of the answers are obvious such as the lack of funds, the lack of sufficiently-targeted promotion platforms, the lack of time, etc. However, more often than not it is simply due to a lack of thought or priority. After all, the job is to sell advertising -- right? Here's an example.

In a recent meeting I had with a well-know, well-respected publisher based out of the UK, we were discussing their U.S. advertising program and how best to increase sales. When asked if the company was actively promoting their publications via marketing, pr and events this senior level executive's response was simply, "We really don't do a very good job promoting ourselves." This is in spite of the fact that the company is well-funded and can hire the best sales help available.

On the flip side, let me offer two counter examples. Emap and IPC, two well-known and successful UK based periodical publishers, have taken the job of marketing / promoting their publications to an unparalleled height. Both companies have spun off web properties dedicated wholly to keeping advertisers informed. Both offer regular updates with regard to publication related events, news and upcoming advertising opportunities. And both make a compelling argument to advertisers for why their platforms will help an advertiser's business succeed. All these things catch the attention of prospective advertisers, help build name recognition and instill confidence in the publisher's platform. The end result is when an advertising sales rep calls on an account the conversation generally starts at a higher level because the publisher's product is known and recognized.

Obviously no amount of promotion or marketing you do can guarantee a sale to those who do not need or believe in your product. But not telling your story, without question, increases the obstacles advertising sales people will face. It seems a bit redundant to say that today's advertising market is competitive. Anyone in the business already knows it. But competition requires that we evolve, create better products and make sure people know about them. As much as the Internet has been blamed for hurting the print advertising business, it has also offered an unparalleled, affordable resource for promoting it. So publishing and advertising sales professionals: It's time to start taking a little of our own medicine. It's time to start promoting your publications. It's time to start thinking like an advertiser.

However dynamic your sales presentation, statistics say that after only two days, your client will only remember half of it. That's why letter-writing is crucial. A strong sales letter can help you summarize and reinforce those critical sales points and move the sale forward.

Note, however, the word "strong." A sales letter is not for making chitchat or merely thanking the client for his time. A sales letter must sell. It must command your client's attention, hold his interest until the end, and then create a call to action.

The Hook could also bring up a previous buying signal: "You mentioned an interest in our annual paint special issue. The closing date is next week, and I want to make sure you wont miss out." Or the Hook could even bring up a new tidbit that youd saved just for this sales letter: "Youll find some interesting new customer information in our just-released study. Id love to drop it off next week."

Whatever point you use to "bait" your Hook, make sure you conclude with a call to action. Dont let your client off the hook (so to speak) with a weak "Hope well speak again soon." Give her a reason to pick up the phone during your follow-up call.

In the end, a good sales letter, like a good sales call, is all about momentum. Each sentence, each point, must build on the one before it, leading to the inevitable close. Thats why those three words--Star, Chain and Hook--are so important. Used correctly, theyll focus your thoughts and add to your sales arsenal, creating tight, attention-getting letters that move the sale forward.

Dos and Dont for Great Sales Letters

Do...

Keep it short. Assume your client is reading your letter right over the wastebasket. If you dont perk his interest quickly, your sales missive is history. As a rule, you should try to cut your first letter draft by at least one-third, without cutting any sales points. Then try to cut it again. (Ive referred to my own editor as "Samurai Editor" for her ability to slice my writing to its essence.)

Address the clients specific needs. Never send a generic letter.

List benefits, not merely features. Dont toss in facts, such as your pass-along rate, without noting how that fact specifically relates to your clients business.

Ask for action. Always end your letter with strong reason for a callback. If your sales letter doesnt move the sale along, whats the point?

Watch your grammar. Use complete sentences. Doublecheck spelling (especially of the clients name and company!). If youre unsure about whether to use "your" or "youre," or "its" or "its," consult a guide, such as Strunk & Whites Elements of Style.

Be conversational. If youre unsure of how to write out your sales points (and face it, were salespeople, not writers), try saying them aloud, as if telling your client in person. Chances are youll hit exactly the right tone and structure.

Dont...

Be negative. Nobody wants to hear that theyre "shortchanging the sales team" or "falling behind the competition." Scare tactics and negative "sells" sour the clients mood and can taint the whole sales process.

Exaggerate. If you call your magazine the best or promise to triple a clients sales, youre only inviting skepticism. Dont weaken your argument by soapboxing.

Be passive. In other words, avoid any version of the verb "to be." "Results will be seen.." or "Our magazine is regarded as.." are better rewritten in active voice: "Youll see results" and "Readers regard our magazine."

Be emotional. Never write a letter in anger. At the very least, save it to reread when youve calmed down.

Stop selling. Remember, the point of the letter is to keep up the sales momentum, not screech it to a halt. Cut the chitchat, leave off the laundry lists, keep your client in focus...and write to sell.

Press freedom gets a listing on the stock exchange


Monday, 8 May 2006--Zurich, Switzerland: To mark World Press Freedom Day, 3 May 2006, it was announced that a social cause will be listed directly on a major stock exchange for the very first time. Media Development Loan Fund, a New York non-profit organization providing low-cost financing to independent news media in emerging democracies, has teamed up with Swiss bank Vontobel Group and Zurich-based social investment specialists responsAbility to launch a listed product to support the development of the independent press in developing countries.

“Voncert responsAbility Media Development”, which is issued today, will be listed on the Zurich stock exchange. It combines an interest rate market element and an investment in MDLF, providing investors with a financial return as well as a social return. Secondary trading is ensured by Bank Vontobel AG and the Swiss Agency for Development and Cooperation (SDC) as part of an innovative partnership.

“The listing of a financial product that mobilises private investment to support a free press is a truly revolutionary step – not just for media development but for all social causes,” said Sasa Vucinic, Media Development Loan Fund Managing Director. “It could provide a blueprint for engaging private finance in social projects around the world. The central element of the Voncert responsAbility Media Development is a loan at 1% to MDLF. Vontobel merged this loan into a structured interest product (VT Swap Note Open End CHF, five years). The resulting product corresponds to a bond investment with a social component. In collaboration with SDC, Bank Vontobel AG ensures that the investment in MDLF is tradable at all times and that investors can resell the product before maturity if necessary. This allows investors to invest in independent media at moderate risk via a conventional investment form.

MDLF financing enables leading journalists to play a key role in developing democratic societies by helping them build self-sustaining news businesses. Loans are typically used to buy printing presses, new TV and radio transmitters and broadcasting equipment, helping independent news outlets reach more people, generate more revenue and stay clear of government monopolies. MDLF financing is often the only way an independent media company can access the capital it needs to strengthen and grow while staying free from state control or vested interests.

Funds raised will be allocated to a revolving loan pool that recycles repayments, enabling them to be used over and over to support independent news media around the world. MDLF supports each loan with intensive financial monitoring, management training and technology assistance. In its 10-year history, MDLF has provided almost $50 million in affordable financing to more than 50 media companies in 17 countries, with loan losses of only 3.1 percent. The New York Times Magazine Introduces New Monthly Advertising Section, Called "Luxury Homes & Estates Special Edition"


Section Will Showcase Properties Outside of Northeast Region

NEW YORK, May 5, 2006 – The New York Times Magazine announced today that it is introducing a new series of special advertising sections, called “Luxury Homes & Estates Special Edition,” that will appear monthly as a center spread insert in The Magazine. The section will be published nine times in 2006 with a double issue in June and will be exclusively distributed outside of the New York and New England regions. The first section will be published on Sunday, May 7.

The Three Most Important Attributes a Media Salesperson Should Have

SALES PEOPLE ARE DIFFERENT. VERY different from people who don't sell, and different from each other. The ones that seem to have the most fun selling media these days are the ones blessed with super creativity. The Internet has provided a blank canvas for this kind of media sales artist. Back when I wore paisley suspenders, we negotiated counter cards from publishers as creative added value to help our clients reach out and touch their target audience ("This ad as seen in Country Living").

Today, co-branded micro sites are just some of the outlets used by this creatively blessed segment of the media sales force to increase the value of a campaign. Super creativity however, is a blessing and a curse. Most blessed with this strength are often weak in other key attributes to successful selling. The three most important attributes a media salesperson should strive for, in order, are: to be super organized; to consistently put forth a super effort; and be super organized. If all three areas are excelled in (okay two), and you then mix in super creativity, you have what Buddy Ryan said at his first press conference as the newly named head football coach of the Philadelphia Eagles at the time: "You got a winner in town."

Another well-known coach, Phil Jackson once told his Michael Jordan led Chicago Bulls, "You can't control if you win or lose, you can only control your effort."

As a media sales person, effort is what you put forth every day. You are either entertaining your clients, or your management, and both are equally tiring. But what contributes to your anxiety, and zaps your energy, is a lack of organization. And I don't mean a cleaned up desk kind of organized.

I mean super organization as in if your president wanted to mail a letter to your top 10 account's presidents and then follow up with a phone call, getting that information does not cost you time and sweat.

In a perfect world, names, addresses, phone numbers (direct dials), and a summary paragraph of that client's spending history with you along with a jpeg of their creative would be sent over in 10 minutes. But you don't sell in a perfect world. So how can you perfect it? Get organized beyond your wildest dreams.

My sales teams were asked to create sales binders with an account review of their top 10 account opportunities. The reviews had to have contact information of the entire roster of key executives (including the president), driving directions, and floor numbers, as well as a list of restaurants in the area.

They had to include entertainment plans for these accounts, including a schedule of lunches to be sent over to the agency team at least once a month. The client's products were listed, along with a summary of their marketing objectives and their media spending history (i.e., which sites were getting the business). Finally, each review had to contain a creative integrated idea that made strategic sense for that client and what internal resources they need to execute it.

This exercise, when taken seriously, is like any exercise. If done right, you feel so great you have that "I can't believe it took this long to figure out" kind of feeling. The strength you as a salesperson will receive from this workout is that of structure.

You have, literally in your hands, a well thought out plan you wish to execute for each account. And at the very least, the binder is alphabetized so you can read the names of all of your accounts until one strikes your fancy on a particularly slow day.

Most importantly however, an organized sales strategy binder can help those media salespeople not blessed with super creativity, harvest this attribute on their behalf.

Organizing data on your top accounts can only help you when trying to educate and empower your sales marketing counterparts and your management to help create a higher value integrated program to sell. This organized approach works much better than an e-mail telling your director of marketing: "Hey, I need a big idea for Nike." If you want to succeed selling media, get super organized, put forth a super effort (or find out what is holding you back from doing so), and get... well, you get the picture.
